How firm and person records relate in your contact graph.
Overview
Toolblocks models the built environment the way BD teams think: people belong to organizations, and many pursuits are firm-level even when outreach is person-level.
Organization record
Use an organization when:
- Multiple contacts share one firm
- You track firmographics (sector, location, size)
- Enrichment runs at the company level
Organization fields commonly include name, website, industry, location, and connection strength at the firm level.
Person record
Use a person when:
- You know an individual decision-maker or influencer
- Follow-up and email integration attach to a human
- LinkedIn or Apollo enrichment targets a profile
Link each person to their current organization so filters and accounts roll up correctly.
Steps
When adding a contact, search for an existing organization before creating a duplicate.
If the person changed firms, update their organization link—stale employer data breaks domain search and account coverage.
On the organization detail view, review all linked people before a principal meeting or account review.
Merge and hygiene
- Imports may create near-duplicate org names; merge in Contacts when you confirm they are the same firm
- Prefer one organization per legal entity; use notes for DBA or studio names
