Data privacy
How Toolblocks handles workspace data, AI processing, and your responsibilities.
Overview
Principals and IT stakeholders often ask what Toolblocks stores, who can see it, and how AI vendors fit in. This page summarizes product behavior at a high level—your Master Services Agreement, Privacy Policy, and security review pack (for Enterprise) remain the contractual source of truth.
When to use this
- Legal or IT review before a Team rollout.
- A principal asks whether client names in pursuits are exposed.
- You need language for an internal memo on AI-assisted research.
What Toolblocks stores
| Data type | Scope |
|---|---|
| Contacts and accounts | Your workspace organization; visible to members per roles and seat types |
| Tasks and projects | Org-scoped unless noted (private chats may be user-scoped) |
| Research outputs | Stored with tasks/contacts; include sources and your overrides |
| Integrations | Tokens and synced metadata per connected account (Google, LinkedIn, etc.) |
Toolblocks is multi-tenant: each workspace is isolated at the application and database policy layer for your organization.
AI and third-party processing
Research, enrichment, and drafting features send necessary inputs (prompts, URLs, contact fields) to AI and data providers to generate outputs. Outputs are draft for review—your team must verify before client use.
- We do not sell your contact list as a data product.
- Provider subprocessors change over time; Enterprise customers receive updated lists during security review.
- Disable or limit integrations you do not want connected to pursuit data.
Your responsibilities
Only invite people who should see pursuit and client context.
Use seat types and roles to limit who accesses accounts and research pools.
Review AI-generated text and citations before external sharing.
Disconnect integrations and remove members when someone leaves the firm.
Toolblocks is not a certified records-management or legal-hold system. Export or archive critical records using your firm’s policies if required.
